For the purposes of applicable data protection law, ChainOptix is the "data controller" responsible for the personal data described in this policy.

3. Scope of This Policy

Personal data collected in the course of delivering programmes and projects (for example, data relating to programme beneficiaries) is handled separately and is governed by the specific agreements, consents, and legal requirements that apply to each programme. Section 13 explains this in more detail.

4. Information We Collect

  • Information contained in job applications, such as your CV, qualifications, and references; and
  • Any other information you voluntarily provide.

Information we collect automatically. When you visit our website, we may collect limited technical information through cookies and similar technologies, which may include:

  • Your IP address and approximate location;
  • Your browser type, device, and operating system;
  • Pages visited, time spent, and how you arrived at our site; and
  • Other standard server log information.

We use this information to operate, secure, and improve our website. See Section 7 for more on cookies.

5. How We Use Your Information

We use personal data for the following purposes:

  • To respond to your enquiries and communicate with you;
  • To consider and process job applications;
  • To manage our relationships with partners, donors, and stakeholders;
  • To operate, maintain, secure, and improve our website;
  • To send updates or communications where you have asked to receive them or where we are otherwise permitted to do so;
  • To comply with legal, regulatory, donor, and contractual obligations; and
  • To protect the rights, safety, and security of ChainOptix, our staff, and the people we work with.

We do not sell your personal data, and we do not use it for purposes incompatible with those described above.

6. Legal Bases for Processing

Where applicable data protection law requires it, we rely on one or more of the following legal bases to process your personal data:

  • Consent — for example, where you have asked to receive communications from us;
  • Legitimate interests — to respond to enquiries, manage relationships, and operate and secure our website, in a way that does not override your rights;
  • Performance of a contract — where processing is necessary to take steps at your request or to fulfil an agreement; and
  • Legal obligation — where we are required to process data to comply with the law or with donor and regulatory requirements.

7. Cookies and Similar Technologies

Our website may use cookies and similar technologies to function properly, remember your preferences, and help us understand how the site is used.

You can control or disable cookies through your browser settings. Disabling certain cookies may affect how parts of the website function.

8. How We Share Your Information

We treat your personal data as confidential and share it only where necessary, including with:

  • Service providers who support our operations (for example, website hosting, email, and IT services), under appropriate confidentiality and data protection obligations;
  • Partners, donors, or authorities where required to meet legal, regulatory, or contractual obligations; and
  • Legal and regulatory bodies where disclosure is required by law or to protect the rights and safety of individuals.

We do not sell, rent, or trade your personal data to third parties for marketing purposes.

9. International Data Transfers

ChainOptix works with international partners and donors, and some of the service providers we use may be located outside Zambia. Where personal data is transferred across borders, we take appropriate steps to ensure it remains protected and that transfers comply with applicable data protection law.

10. Data Retention

We keep personal data only for as long as necessary to fulfil the purposes set out in this policy, including to meet legal, donor, accounting, or reporting requirements. When personal data is no longer needed, we securely delete or anonymise it.

11. Data Security

We implement appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, or alteration. While no system can be guaranteed to be completely secure, we review our safeguards regularly and respond promptly to any incidents.

12. Your Rights

Subject to applicable law, you have rights in relation to your personal data, which may include the right to:

  • Access the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request deletion of your data in certain circumstances;
  • Object to or request restriction of certain processing;
  • Request a copy of your data in a portable format;
  • Withdraw consent at any time, where processing is based on consent; and
  • Lodge a complaint with the relevant data protection authority.

To exercise any of these rights, please contact us using the details in Section 17. We will respond within the timeframes required by applicable law.

13. Programme and Beneficiary Data

As a development organisation, we may collect and process personal data in the course of delivering programmes — including, in some cases, sensitive information relating to health or other protected categories. Such data is collected and handled under the specific consents, data-sharing agreements, donor requirements, and legal obligations that apply to each programme, and is subject to strict confidentiality and safeguarding standards.

We are committed to protecting the dignity, safety, and privacy of the individuals and communities we serve, and we apply particular care when handling the data of children and other vulnerable persons. This website policy does not replace those programme-specific protections.

14. Children's Privacy

Our website is not directed at children, and we do not knowingly collect personal data from children through it. Where we process children's data in the course of our programmes, we do so in accordance with applicable safeguarding standards and the specific protections described in Section 13.

15. Third-Party Links

Our website may contain links to external websites, including social media platforms. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their privacy policies before sharing any personal information.

16. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Any updates will be posted on this page with a revised "Last updated" date. We encourage you to review this policy periodically.
